Privacy Policy

This Privacy Policy describes how Quick Cal ("we," "us," or "our") collects, uses, and shares information when you use our platform and services ("Service"), which includes AI-powered websites for small businesses, scheduling and dispatch tools, and an AI voice agent. By using the Service, you agree to the practices described here.

1. Information We Collect

Information you provide: When you create an account or claim your website, we collect your name, email address, phone number, and business information.

Publicly available business information: We source business information from Google Maps and other public directories — including business name, address, phone number, category, ratings, and reviews — to build prospecting websites before a business owner claims them. This information is already publicly visible on Google.

Payment information: When you subscribe, payment is processed by Stripe. We do not store your full card number. We receive and store a Stripe customer ID and subscription ID.

Information collected from callers: When a caller contacts your business through our AI voice agent, we collect the information the caller provides, including name, phone number, email address, service address, and job description. This is stored on your behalf.

Call recordings and transcripts: With appropriate notice to callers, we may generate transcripts of calls handled by the AI agent for scheduling and quality purposes.

Usage information: We collect information about how you interact with the Service, including log data, device information, and usage patterns.

2. How We Use Information

We use collected information to:

  • Build and display prospecting websites using publicly available business information
  • Provide, operate, and improve the Service
  • Process subscription payments and manage billing
  • Send transactional and operational emails (welcome emails, domain activation notices, appointment confirmations)
  • Send automated SMS and email notifications to you and your customers on your behalf
  • Register and manage custom domains on behalf of subscribed customers
  • Create and manage appointment records in your account
  • Send physical mail (postcards) to business addresses as part of our outreach program
  • Authenticate users and maintain account security
  • Respond to support requests
  • Comply with legal obligations

We do not sell your personal information or your customers' personal information to third parties.

3. SMS Communications

The Service sends automated SMS messages on behalf of businesses using our platform. These messages include:

  • Appointment confirmation and reminders
  • Scheduling updates and changes
  • Lead notification alerts to business owners

By providing a phone number when scheduling an appointment through a business using our platform, the caller consents to receive SMS messages related to that appointment. Message frequency varies based on activity. Standard message and data rates may apply. Recipients may opt out of SMS messages at any time by replying STOP to any message. For help, reply HELP. We do not share phone numbers collected through SMS opt-in with third parties for their own marketing purposes.

4. Information Sharing

We share information only in the following circumstances:

  • Service providers: We share information with third-party vendors who help us operate the Service, including:
    • Stripe — payment processing and subscription management
    • Lob — physical postcard printing and mailing
    • Resend — transactional email delivery
    • Twilio — SMS messaging
    • Supabase — database hosting
    • Retell AI — AI voice agent
    • Vercel — platform hosting
    These providers are bound by data processing agreements and may not use your data for their own purposes.
  • Business operators: Information collected from your callers is accessible to you as the business account holder.
  • Legal requirements: We may disclose information if required by law or in response to valid legal process.
  • Business transfers: In connection with a merger, acquisition, or sale of assets, information may be transferred to a successor entity.

5. Prospecting Websites and Publicly Available Data

As part of our business model, we create preview websites for small businesses using publicly available information from Google Maps and similar sources, and we may send physical mail to business addresses as part of our outreach. This is similar to how a marketing agency might reach out to a potential client.

If you are a business owner who has received a postcard or found a preview website for your business and do not wish to be contacted or have a preview site displayed, contact us at privacy@quick-cal.com and we will promptly remove it.

6. Data Retention

We retain account information and job records for as long as your account is active or as needed to provide the Service. You may request deletion of your account and associated data by contacting us at privacy@quick-cal.com. Unclaimed prospecting websites may be retained indefinitely or removed at our discretion.

7. Data Security

We implement industry-standard security measures including encryption in transit and at rest, row-level access controls, and regular security reviews. No method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.

8. Your Rights

Depending on your location, you may have the right to:

  • Access the personal information we hold about you
  • Request correction of inaccurate information
  • Request deletion of your personal information
  • Object to or restrict certain processing
  • Data portability
